Privacy Policy

Orlando AI Solutions ("we", "us", "our") respects your privacy. This policy explains what information we collect, how we use it, and your rights.
Information we collect
- Booking information — when you book a 15-minute discovery call: your name, email address, phone number, and any notes you provide. This is collected via Cal.com and stored by us to reach out at the scheduled time.
- Chat messages — when you use our AI chatbot, your messages are sent to our server and to Anthropic's Claude API for generating responses. We do not log chat transcripts long-term; they live only in your browser session.
- Demo request data — if you explicitly ask our chatbot for a test text or email, we collect the phone number or email address you provide to send the single demonstration message.
- Email correspondence — if you email us at oscar@orlandoaisolutions.net, we retain that correspondence to reply and maintain a record of the conversation.
- Server logs — basic HTTP logs (IP address, user agent, timestamps, URLs requested) for security and rate-limiting purposes. Rotated after 30 days.
- Advertising / analytics cookies — we use Google Ads (gtag) to measure ad performance, track conversions (such as when a visitor books a call after clicking one of our ads), and build remarketing audiences. Google may set cookies on your device to recognize you across sessions. You can opt out of personalized ads at adssettings.google.com or manage cookies in your browser settings.
How we use it
- To schedule and conduct your discovery call
- To send appointment reminders (SMS 30 minutes before your call, email confirmations via Cal.com)
- To respond to your questions through the chatbot or email
- To send a single demonstration SMS or email when you explicitly request one via the chatbot
- To detect and prevent abuse of our chatbot (rate limits)
SMS / text messaging
We send SMS in two cases, always with your explicit consent:
- Booking reminders — if you provide your phone number while booking a call, you will receive a reminder SMS 30 minutes before the call, plus any reschedule or cancellation notices. The call location itself is configured as a phone call to the number you provided.
- Demo messages — if you explicitly ask our chatbot to send you a test text and provide your phone number in response, you will receive exactly one demonstration message.
Every SMS we send includes "Reply STOP to opt out". Replying STOP unsubscribes you immediately via Twilio's carrier-level opt-out mechanism. Standard message and data rates may apply. Message frequency varies by use case: at most one demo SMS on request, and up to four booking-related SMS per booked call (confirmation, reminder, plus reschedule/cancel if they occur).
Sharing
We do not sell or rent your information. We share it only with the service providers necessary to deliver our service:
- Cal.com — booking platform (stores your booking info)
- Anthropic — powers the chatbot (your chat messages transit their API)
- Twilio — sends SMS messages
- Resend — sends outbound email
- Cloudflare Email Routing — forwards inbound email to our inbox
- Google Ads (gtag) — advertising analytics and conversion tracking (see "Advertising cookies" above)
We may disclose information if required by law or to protect our rights.
Security
Our site uses HTTPS. API keys and credentials are stored in server environment files with restricted permissions. That said, no system is perfectly secure — use good judgment about what you share.
Your rights
You can request deletion of any booking or chat-related data we hold by emailing oscar@orlandoaisolutions.net. We will confirm deletion within a reasonable time.
Children
Our services are not directed to children under 13 and we do not knowingly collect information from them.
Changes
We may update this policy. Material changes will be noted by updating the "Last updated" date at the top.
